AI Club Acceptable Use Policy

🛠️ 1. Permitted AI Tools
  • Students may use the following approved AI tools: ChatGPT (free tier), Google Gemini, Microsoft Copilot, Claude.
  • All tool usage must occur on school devices or personal devices connected to the school network.
  • Students must use their school-issued accounts (not personal accounts) where applicable.
  • Any new AI tool must be approved by the club supervisor before use.
🔒 2. Data Handling Rules
  • Never enter personal information into AI tools: no full names, addresses, phone numbers, photos, or school ID numbers.
  • Do not upload school documents, exam papers, or confidential materials to any AI tool.
  • Use fictional names and scenarios when testing AI applications.
  • Report any accidental data exposure to the club supervisor immediately.
📝 3. Academic Integrity Guidelines
  • AI tools are learning aids, not answer machines. Use them to understand concepts, not to bypass learning.
  • Always disclose AI usage in club projects and school assignments using the school's AI declaration form.
  • AI-generated text must be substantially rewritten in your own words and cited appropriately.
  • Submitting AI output as your own original work constitutes academic misconduct.
🎨 4. Content Creation Rules
  • Do not use AI to generate content that is violent, discriminatory, sexually explicit, or harmful.
  • Do not create deepfakes or manipulated images of real people (students, teachers, or public figures).
  • All AI-generated creative work shared publicly must be labelled as "Created with AI assistance".
🚨 5. Reporting Procedures
  • If an AI tool produces harmful, biased, or inappropriate content, take a screenshot and report it to the club supervisor.
  • If you witness another student misusing AI tools, speak to the supervisor privately — do not confront them directly.
  • All incidents are logged in the club's AI Safety Log and reviewed termly by the designated safeguarding lead.
⚖️ 6. Consequences
  • First offence: Verbal warning + discussion with supervisor about responsible AI use.
  • Second offence: Written warning sent home to parent/guardian; temporary suspension from AI tool access.
  • Serious or repeated offence: Referral to the school's disciplinary process; possible removal from the AI Club.
  • All consequences are applied fairly and proportionately, with the aim of educating rather than punishing.
Student Agreement
"I have read and understand this Acceptable Use Policy. I agree to follow these rules when using AI tools in the AI Club and at school. I understand that breaking these rules may result in consequences."

Parent / Guardian Notification
